Privacy Policy

This policy explains what personal data Evocation Photography Ltd collects, why, who we share it with and your rights under UK data protection law. We are the data controller: Evocation Photography Ltd, registered in England and Wales (company number 15102237), registered office Flat 10, 4 Reddown Road, Coulsdon, CR5 1FA. What we collect

• Enquiries: the details you send us, usually your name, email, phone number, date, venue and message.
• Bookings: what we need to provide our services, including billing details and our correspondence with you.
• Photographs: the images we create, which may include you, your guests and others present.
• Website use: technical and usage information collected through cookies, explained in our Cookie Policy.

How we use it, and our legal basis

• Replying to your enquiry: steps you ask us to take before a contract, and our legitimate interest in responding.
• Providing our services, delivering your gallery and handling payments: our contract with you, and our legal obligations such as keeping tax records.
• Showing a selection of our work in our portfolio and on social media: our legitimate interest in promoting our business, as set out in your contract. Tell us if you would rather your images were not shared.
• Understanding how our website is used and whether our ads lead to enquiries: our legitimate interest in running and promoting our business. You can switch this off at any time from “Cookie settings” in the footer.
• Marketing emails, only if you have agreed: your consent, which you can withdraw at any time.

Who we share it with

We never sell your data. We share it only with service providers who help us run the business, and only as far as needed:

• our client management and booking system;
• our website hosting provider and our online gallery provider;
• Google, for business email, spam protection, analytics and ad measurement;
• Meta (Facebook and Instagram), for ad measurement and embedded Instagram content;
• AI tools that help us draft replies and manage admin. A person reviews their work, and they never make decisions about you on their own;
• payment providers and professional advisers such as our accountant.

Some of these providers are outside the UK; where data is transferred abroad, appropriate safeguards are in place. We may also disclose information where the law requires it.

How long we keep it

• Enquiries that don't lead to a booking: up to two years from our last contact.
• Booking records, contracts and invoices: up to seven years, for tax and legal reasons.
• Marketing contacts: until you ask us to stop.
• Photographs: in our archive and portfolio unless you ask us to remove them.

Children

Children may appear in photographs we take at events. Where consent is needed for a child, we rely on a person with parental responsibility.

Your rights

You can ask to access, correct or delete your data, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent where we rely on it. Email john@evocationphotography.com and we will reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
