Information we collect
- Enquiry details. When you contact us through our contact form (provided by Studio Ninja), by email or by phone, we collect the details you give us, typically your name, email address, phone number, your wedding or event date and venue, and anything you include in your message.
- Booking and client information. When you book us, we collect the information needed to provide our services and manage your booking, including billing details and our correspondence with you. Bookings, contracts and invoices are managed through Studio Ninja.
- Photographs. In the course of providing photography services we create images that may include you, your guests and other people present. These images are personal data.
- Website usage. When you visit our website we collect limited technical and usage information through cookies and similar technologies, as described in our Cookie Policy.
How we use your information, and our legal basis
- To respond to your enquiry and discuss your booking. Basis: our legitimate interest in replying to you, and taking steps at your request before entering a contract.
- To provide our photography services, deliver your gallery and manage your booking, contract and payments. Basis: performance of our contract with you, and our legal obligations such as keeping tax records.
- To send you service messages about your booking. Basis: performance of our contract.
- To show a selection of our work in our portfolio, on our website and on social media. Basis: our legitimate interest in marketing our business. You can ask us not to use your images in this way (see Your images below).
- To send marketing, only where you have agreed. Basis: your consent, which you may withdraw at any time.
- To understand how our website is used and to improve it. Basis: your consent to analytics cookies.
Your images
We take the trust you place in us seriously. We use your photographs to deliver your private gallery and to fulfil our contract with you. We may also feature a selection of images in our portfolio, on our website and on social media to showcase our work. If you would prefer your photographs not to be shared publicly, please tell us and we will respect that. The specific arrangements about image use are set out in your booking contract.
Who we share your information with
We do not sell your personal data. We share it only with trusted service providers who help us run our business, and only as far as is needed. These include:
- Studio Ninja, our booking, contract and customer management system.
- Google, for website analytics, fonts, spam protection (reCAPTCHA) and maps, and for our business email (Google Workspace).
- Our website host and our online gallery provider.
- Meta (Facebook and Instagram), where content is embedded or shared.
Some of these providers are based outside the UK. Where personal data is transferred outside the UK, we take steps to make sure it is protected by appropriate safeguards. We may also disclose information where we are required to do so by law.
How long we keep your information
We keep enquiry information for a reasonable period in case you get back in touch. We keep booking and client records, including contracts and invoices, for as long as needed to provide our services and to meet our legal and tax obligations, which is generally up to seven years. We keep marketing contacts until you ask us to stop. We may keep your photographs in our archive and portfolio unless you ask us to remove them.
Your rights
Under UK data protection law you have the right to:
- be informed about how we use your data;
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to our processing;
- data portability; and
- withdraw your consent at any time where we rely on it.

Children
We photograph events such as weddings where children may be present. Where consent is needed in relation to a child, we rely on the consent of a person with parental responsibility.
Security
We use appropriate technical and organisational measures to protect your personal data, including secure systems and access controls. No method of transmission or storage is completely secure, but we take reasonable steps to keep your information safe.

We may update this policy from time to time. The date at the top shows when it was last revised, so please check back occasionally.
